Every share has an Expires setting. When a share expires, its link stops working and nothing further is needed from you.
The options
- Never — the link works until you delete the share
- 1 Day
- 1 Week
- 1 Month
- 1 Year
Picking one
A substitute — 1 Day or 1 Week. They need Thursday; they don't need your plans in June.
An observation or a one-off request — 1 Week or 1 Month is plenty.
An administrator following your plans all year — 1 Year, or Never.
An embedded planbook on a school site — Never, otherwise the page silently stops working mid-year. This is the case where an expiry causes more trouble than it prevents.
Prefer a short expiry when you can
An expiring share is one you can't forget about. A link with Never set is live until you remember to remove it, and shares accumulate — old substitutes, last year's parents, a colleague who's moved school.
Pick the shortest span that covers the need. You can always create a new share.
Ending a share early
You don't have to wait for expiry. Delete the share and the link stops working immediately — the right move if a link has gone somewhere you didn't intend.
After it expires
The link stops resolving. Your plans are untouched; only the share is gone. To restore access, create a new share — see Share your planbook.
